How to book

Booking Procedure

We accept bookings 24/7 online and enquiries via email which you can find on our contact form.

You can book in real-time availability with the ‘Book Now’ button under each trip or day walk.

This opens a widget where you can find more information regarding the cancellation policy and further details. Once you decided to book you can follow the checkout procedure.

The booking is only confirmed once the deposit is paid.

We also accept bookings by telephone & email if you prefer to book with a person.

If you would like to book a private or tailor-made trip, then we need to develop the trip with you – please contact us by email, phone or the Enquire Now button.

In the case of a tailor-made trip, we recommend that you carefully review the personalised itinerary provided to you. If you have any questions regarding your suitability for a trip, please send an email or call us.

A deposit (depending on the trip) is required at the time of booking unless you are booking less than 60 days before departure. In this case, the full payment of the trip price is due on the day of the booking.

If you prefer, you can make a booking over the phone and pay your deposit using your debit or credit card. This will enable us to confirm your place immediately in most cases.


Booking and Payment

To confirm your booking you are required to pay a non-refundable deposit, each trip page is giving you the deposit amount needed (mostly around 20 – 25 % of trip price). We will reply to your booking enquiry with a confirmation email giving the details of your balance and deposit amounts.
We’ll send you instructions to pay your deposit by card, bank transfer, or cheque. Your balance is due 8 weeks before your trip and we’ll email you with a reminder. After this, we will send you an invoice for the balance and advise you of the date for payment of the same. Payment will be accepted by:-

  • Maestro, Visa Electron, Visa Debit and Solo debit cards or Visa/Mastercard/American Express credit cards.
  • Bank Transfer
Cancellation of Booking

Any cancellation must be notified via email by the person who made the booking. Your deposit is non-refundable from the time of booking. If you cancel your holiday:

  1. More than 56 days prior to the start of your holiday, you will only be charged your deposit
  2. Between 56 and 31 days, you will be charged 50% of the holiday cost
  3. 30 days or less before the start of your holiday or on or after the commencement of the holiday, you must pay the total holiday price.

We advise you to take out travel insurance to protect yourself from losing money if you cancel.

Changes or Cancellation by YOu

We reserve the right to change any of the facilities, services or prices described on our website. We also reserve the right to cancel the holiday. For example, if the minimum number of clients required for a trip is not fulfilled, we may have to cancel your holiday.

When a significant change occurs you will have the choice, within a reasonable period specified by us, of either accepting the change of arrangements, purchasing another available holiday from us or cancelling your holiday. In the event of cancellation, we will refund all payments made directly to us in respect of the holiday cost.

Where we are prevented from providing your holiday because of unavoidable and extraordinary circumstances occurring at the location of the itinerary or in the immediate vicinity which significantly affects the performance of the trip sold to you, we will offer you the choice of postponing your travel or changing to an agreed alternative. If neither of the options presented is acceptable you may cancel your trip and we will refund all payments made directly to us.

Canges or Cancellation By us

If you, after booking onto a fixed date small group trip and paying a deposit and/or full payment, would like to change onto an alternative departure or itinerary, this may be possible in certain circumstances but cannot be guaranteed. Due to the specialist nature of private travel, if you have booked a private trip, any request to change travel dates will be treated on a case-to-case base what charges may apply regarding accommodation suppliers, transport etc.

Information Provided

Any information provided by Mckenzie Mountaineering on such matters as climate, travel, clothing, special equipment etc. is given in good faith but without responsibility on the part of Mckenzie Mountaineering.

Adventure Travel and Client Responsibility

It is a fundamental booking condition that you accept the hazards involved in this sort of trip and you accept that in visiting remote and mountainous regions there is an element of on-tour flexibility. The itinerary stated in the trip page is indicative only and not a guarantee that a particular route will be followed or place reached. You must acknowledge that delays and alterations and their results, such as inconvenience and discomfort, are possible where unforeseen circumstances arise. You must have a level of fitness commensurate with your chosen trip and you are responsible for bringing the appropriate equipment, details of which will be sent to you at the time of booking.

If in the opinion of the Mckenzie Mountaineering Guide or Staff, your health, conduct, behaviour, fitness or equipment may compromise the safety of a trip, or if it could negatively impact the experience of other clients on the trip, we reserve the right to cancel or terminate your holiday. 

Personal Travel Insurance

We strenuously recommend that you take out a travel insurance policy as soon as you have booked your trip with us.

We recommend you do your own research to find the best provider for you.

Before your overseas trip, you must tell us the insurer’s name and the policy number for each member of your group. We will send you a reminder. On a Guided overseas trip, if you do not have adequate insurance then your leader must refuse your participation in the walks and you will have no right to a refund.

Medical Conditions & DIETARY REQUIREMENTS

If you are affected by an illness or medical condition which may affect your or other people’s enjoyment of the holiday, you must advise this at the time of booking or in advance of travel (if you did not have the illness or condition at the time of booking). Similarly, you must advise us of dietary requirements at the time of booking. Failure to disclose a medical condition that could affect you during the trip could place you at risk. We will ask to fill out an online medical questionnaire a couple of weeks before the trip commences.

INDEPENDENT Travel ARRANGEMENTS

We will not be responsible or liable for your actions or your safety for any independent travel you undertake before, during (if you choose to leave) or after the holiday.

Our Liability & COmpensation

We cannot be held responsible for any mishap to yourself or your property, and in particular for the consequences of flight cancellations, vehicle accidents, strikes, sickness, Government or customs or police intervention or other such happenings amounting to force majeure. Mckenzie Mountaineering and its guides are covered by public liability insurance up to a maximum of £5,000,000 in any one event. By booking with us you acknowledge that we have taken all reasonable steps to safeguard its liability in this respect.
